Solution

After doing the audit, we agreed to implement the following solutions for each problem:

1: Not enough time and knowledge.

✅ Create a strategy on how we will set up a simple and functional task management system on ClickUp.

✅ Migrate their recurring and one-off tasks from Google Sheets (her second brain) to ClickUp.

✅ Set up additional automation to reduce manual steps, such as assigning tasks automatically.

3: Manually managing multiple recurring tasks.

✅ Set up the recurring settings appropriately for daily, weekly, monthly, quarterly, and yearly tasks to reduce time on recreating tasks.

✅ Identify the task category for each task.

4: Manually managing calendar events.

✅ Set up a custom automation using Zapier to add their calendar events as ClickUp tasks so they can manage both events and tasks in one place.

Result

After the entire project, we were able to:

  • Set up a simple and functional task management system that they can easily use and manage to keep track of all their tasks and events.
  • Set up custom automation to sync her calendar and task management system and to reduce manual steps for her.

Most importantly, by setting up a simple and functional task management system, we were able to standardize the process which helped them slash time spent on task management by 2933 hours per year.
